Terms of Service

These Terms apply to course reservations and related training services supplied by Educademy Prague s.r.o., IČO 10853359, Vlkova 679/39, 130 00 Prague 3 – Žižkov, Czech Republic (“Educademy”, “we”, “us”).

1. Scope and authority

By submitting a reservation, you confirm that the information supplied is accurate, that you are at least 18 years old and, where booking for an organisation or other participants, that you are authorised to act for them and communicate these Terms to them.

2. Provisional reservations and contract formation

An online reservation is a provisional request and creates no payment obligation by itself. A place is secured only when Educademy sends written confirmation or an acceptance letter identifying the course, session, participants and applicable fee. If a separate written offer, invoice or agreement contains expressly different terms, that document takes priority for the relevant booking.

3. Course information and eligibility

Participants are responsible for reviewing the published course description, language level, audience and practical requirements. Erasmus+ eligibility and funding decisions belong to the participant’s organisation and the relevant National Agency; Educademy does not guarantee grant approval or reimbursement.

4. Fees and payment

The standard published course fee is €400 per participant unless a different amount is stated in the written offer or confirmation. Travel, accommodation, insurance, meals and personal expenses are not included unless expressly stated. Payment must be made by the deadline and method stated in the confirmation or invoice. The sender bears bank-transfer charges. A payment reference should be included where provided.

5. Participant cancellation

Cancellation must be sent in writing to info@educademyprague.com. The effective cancellation date is the date we receive the written notice. Unless a separate signed agreement says otherwise, the following charges apply to the confirmed course fee:

30 or more calendar days before the courseNo cancellation charge; course fees already paid are refunded.
15–29 calendar days before the course50% of the confirmed course fee.
0–14 calendar days before the course100% of the confirmed course fee.
Non-attendance or early departure100% of the confirmed course fee.

Refunds exclude non-refundable bank charges. Statutory rights that cannot lawfully be limited remain unaffected.

6. Participant substitutions and date changes

An organisation may nominate a suitable replacement participant without an Educademy administration charge, provided written notice is received before the course and the replacement meets any stated eligibility or language requirements. Requests to move to another session are subject to availability and written agreement; the applicable fee and cancellation position will be confirmed before the change is accepted.

7. Changes or cancellation by Educademy

We may make reasonable changes to trainers, timetable, venue, learning activities or delivery arrangements while preserving the course’s overall purpose and published learning outcomes. If we cancel a course, participants may choose an available alternative session, a credit or a refund of course fees paid to Educademy. We are not responsible for independently booked travel, accommodation, visa, insurance or other third-party costs, so refundable arrangements are strongly recommended.

8. Force majeure

Neither party is liable for delay or failure caused by events beyond reasonable control, including severe weather, natural disaster, epidemic, war, civil disturbance, government action, transport disruption, venue closure or major infrastructure failure. We will communicate promptly and seek a fair solution, which may include rescheduling, alternative delivery, credit or refund where required by applicable law.

9. Travel, visas and insurance

Participants are responsible for passports, visas, entry requirements, travel, accommodation and appropriate health and travel insurance. Acceptance or invitation documents do not guarantee a visa. Participants should not make non-refundable arrangements until the course has been confirmed in writing.

10. Participation, conduct and accessibility

Participants should attend punctually, engage respectfully, follow reasonable health and safety instructions and avoid conduct that disrupts learning or threatens others. Serious misconduct may result in removal without refund, subject to applicable law. Accessibility or support needs should be shared as early as possible so reasonable arrangements can be discussed; we cannot promise an adjustment before assessing feasibility.

11. Certificates

Certificates are issued based on attendance and any stated participation requirements. A certificate does not itself guarantee academic credit, professional recognition, Erasmus+ reimbursement or acceptance by a third party.

12. Intellectual property and participant materials

Course materials supplied by Educademy or its trainers remain protected by intellectual-property law. Participants may use them for their own professional learning and internal educational practice but may not resell, publish, upload or commercially reproduce substantial materials without permission. Participants remain responsible for content they submit and must respect third-party rights and confidentiality.

13. Data protection and communications

Personal data is processed as described in our Privacy Policy. Service emails concerning reservations, payment, programme changes and course administration are necessary operational communications and are not marketing messages.

14. Liability

To the fullest extent permitted by law, Educademy is not liable for indirect or consequential loss, loss caused by inaccurate information supplied by the participant, or third-party travel and accommodation arrangements. Nothing in these Terms excludes liability that cannot legally be excluded, including liability for intentional misconduct, gross negligence, death or personal injury where applicable. Any aggregate contractual liability is limited to the course fees paid for the affected booking, except where such a limit is prohibited by law.

15. Complaints

Please raise operational concerns during the course where possible. Formal complaints should be sent to info@educademyprague.com with the reservation reference and relevant details. We aim to acknowledge a complaint within 5 business days and provide a substantive response within 30 days.

16. Governing law

These Terms are governed by the laws of the Czech Republic. The courts of the Czech Republic have jurisdiction, subject to mandatory consumer-protection and jurisdiction rules that apply to an individual participant. If any provision is unenforceable, the remaining provisions continue in effect.

17. Contact and changes

Questions may be sent to info@educademyprague.com. The version accepted at the time of reservation remains associated with that reservation unless the parties agree otherwise in writing.
